Processing of (personal) data by the entity in charge of the online application process

At exnaton, we are committed to protecting your privacy and complying with the requirements of the General Data Protection Regulation (GDPR). This Privacy Policy outlines how we collect, process, and protect your personal data during the recruitment process.

1. Data Controller: the data controller responsible for your personal data is exnaton, with a registered office at Zeughausstrasse 31, 8004 Zürich, Switzerland.
2. Data Collection: we collect and process personal data you provide during the job application and recruitment process. This may include your name, contact details, resume, cover letter, and other relevant documents.
3. Purpose of Processing: we process your data for the purpose of evaluating your qualifications, contacting you regarding job opportunities, scheduling interviews, and assessing your suitability for employment with our organization.
4. Legal Basis: our processing of your personal data is based on your consent as provided during the application process and as allowed by Article 6(1)(a) of the GDPR. You have the right to withdraw your consent at any time.
5. Data Retention: your data will be retained for as long as necessary for the recruitment process. If you become an employee, your data will be subject to our internal privacy policies. Unsuccessful applications will be anonymised after 180 days unless applicants have given consent to having their data stored in the frame of the Talent Pool.
6. Data Security: we implement appropriate technical and organizational measures to protect your personal data from unauthorized access, disclosure, alteration, or destruction, in compliance with Article 32 of the GDPR. Additionally, we are an ISO27001 certified company.
7. Data Sharing: your data may be shared with relevant departments and individuals involved in the recruitment process. We do not sell or share your data with third parties for marketing purposes.
8. Your Rights: under the GDPR, you have the right to access, rectify, erase, restrict, or object to the processing of your personal data. If you have any concerns or questions about your data, please contact our Recruitment Team at jobs@exnaton.com.
9. Data Transfer: your data may be transferred to and processed by third parties in countries outside the European Economic Area (EEA) if necessary for the recruitment process. In such cases, we ensure that appropriate safeguards are in place to protect your data, as required by the GDPR.

Processing of (personal) data by the operator of the recruitment website

General information

This recruitment website is operated by Personio SE & Co. KG, which offers a human resource and candidate management software solution (https://www.personio.com/legal-notice/). Data transmitted as part of your application will be transferred using TLS encryption and stored in a database. The sole controller of this data within the meaning of article 24 of the GDPR is the enterprise carrying out this online application process. Personio’s role is limited to operating the software and this recruitment website and, in this context, being a processor under article 28 of the GDPR. In this case, the processing by Personio is based on an agreement for the processing of orders between the controller and Personio. In addition, Personio SE & Co. KG processes further data, some of which may be personal data, to provide its services, in particular for operating this recruitment website. We will refer to this in more detail below.

Access logs (“server logs”)

Each access to this recruitment website automatically causes general protocol data, so-called server logs, to be collected. As a rule, this data is a pseudonym and thus does not allow for inferences about the identity of an individual. Without this data, it would, in some cases, be technically impossible to deliver or display the contents of the software. Error logs

So-called error logs are generated for the purpose of identifying and fixing bugs. This is absolutely necessary to ensure we can react as quickly as possible to possible problems with displaying and implementing content (legitimate interest). As a rule, this data is a pseudonym and thus does not allow for inferences about the identity of an individual. The legal basis for this is §25 subsection 2 Sentence 2 TDDDG. When an error message occurs, general data such as the domain name of the website, the web browser and web-browser version, the operating system, the IP address, as well as the timestamp upon occurrence of the respective error message and/or specification is collected. These error logs are stored for a period of up to 7 days. There is no right to object to this.

Use of cookies
